Credit & Reference checks: Most of our Landlords ask us to conduct a credit & reference check on every adult that resides in a property and we outsource this to an affiliated credit & reference agency who will ensure that you and the landlord are covered with any insurances that may come into effect during your tenancy.

Applicant name and 3 years address history (documentary proof should be retained by the letting agent), Date of Birth & Occupation.As part of our tenant assessment we will usually ask for the following information:


Giving Us Proof          

In order to comply with government legislation we will require copies of documents from the list provided, one document confirming your name and one document confirming your address.

In order to have a document certified (if you do not have the original) please have the document copied by a solicitor, accountant, bank manager or doctor to provide us with those certified copies for each of the individuals.  Certified means that the name of a solicitor, accountant, bank manager or doctor must be printed on the copy document. It must be signed by that person and their address must also be placed on that document.

Please note that you should not use the same document to confirm both name and address.

To Confirm your Name    

Current full signed passport

Current UK photocard driving licence (full or provisional)

Residence Permit (issued by the Home Office to EU Nationals)

To Confirm your Address  

A current UK driving licence showing the current address (full or provisional)

A recent (no older than 3 months) gas, electric, water, telephone or mobile telephone bill

A council tax bill showing your name and current address

A letter from the personnel/HR dept. of your employer confirming the current address – this letter must be signed by the payroll dept. or the finance director and contain the name and position of the signatory

A copy of your current Tenancy Agreement showing property address and the names of all the occupiers and start dates.

Please note that bank, building society, credit card or store card statements cannot be used to prove either your name or address.

Deposits: We will register and ensure that your deposit is protected with the Deposit Protection Service. This is a tenancy deposit protection scheme which aims to ensure that tenants who have paid a deposit, to a landlord or letting agent, receive all or part of it back at the end of that tenancy.

Administration Fees: We are very open about our fees and are willing to show you how we get paid for all of the work that we do, before, during and after your tenancy.

Additional charges: From time to time we have to arrange for services beyond our normal duties and as such these may carry an additional fee to you. Please be aware of what you are agreeing to, before signing your agreement.

What is the Credit & Reference check?

Our affiliated credit & reference agency checks your credit status, previous employer, current or past landlords, and takes into account any other information to help assess the affordability of your tenancy application. The application can be done online or you can complete a hard copy in the office. We will need to see proof of identification and usually a utility bill at this time.

What is the Administration fee?

This fee includes providing your tenancy agreement, inventory and protecting your security deposit with the DPS (deposit protection service).

When do I have to pay these fees?

We ask that you pay for your credit and reference checks when you apply to take on a property as this is a non-refundable fee and secures the property for you. Once your credit & reference checks are confirmed you can pay your deposit and administration fee, which allows us to process your application. Once a date is confirmed for you to move in, we ask that you pay your first month’s rent in advance. The only other payment that you may need to make, in advance, is for a guarantor, if you fail to pass the credit & reference check.

Any additional fees: Other fees may be payable during your application & tenancy.

Guarantor: Depending on the outcome on your application from the referencing agency, you may be required to provide a Guarantor. This means that you will have to provide someone that agrees to pay your rent should you fail to do so and also means that they will have to undergo their own guarantor credit referencing to ensure they have sufficient funds/earnings to cover the overall rent commitments should you default. The Guarantor will also be required to sign a Guarantor agreement.

Additional Tenant: This covers the cost of processing the application and associated paperwork for any additional applicants over the age of 18. 

Amendment fee: An amendment fee may become applicable if a change to the tenancy is required due to a change in occupants/personal circumstances/or a request to leave the tenancy early is agreed prior to the end of the tenancy agreement (this is subject to Landlord consent). Please note: We DO NOT charge Extension fees or Check out Fees. However, the return of your deposit is reliant on the property being returned in the same condition that it was received and as such should any damages made not be rectified within 7 days of your checkout, payment will be taken from your deposit.

Missed maintenance appointment fee: From time to time we have to arrange for maintenance teams to attend the properties that we rent. As such we will arrange a suitable time and date with you for these appointments to be made. Should an agreed time and date for a visit not be made then a missed maintenance appointment fee will be charged directly to you by our maintenance team. If this payment is not made within 30 days of the receipt of invoice, we will issue proceedings to recover the payment.

Pets / Infestation fee (additional charge on deposit): Please note that an additional £100.00 may be required as payment in addition to your deposit if it is agreed, subject to the landlord’s consent, that pets are allowed within the tenancy agreement. (This £100.00 additional fee may be retained for 3 months after the tenancy has ended to allow for any infestation to be discovered and treated.)
